Tutoring Policy
Effective date: November 14, 2023
JVM Edu Tutoring Policy ("Tutoring Policy") apply to our websites and/or services that post a link to these Tutoring policies. JVM Edu is referred to in this Tutoring Policy as "JVM", "JVM Edu", "we" or "our." "You," "your" and "user" refer to any person or entity using the Services.

The Tutoring Policy govern your use of the Services, regardless of how you access them, whether by computer, mobile device, or otherwise; and whether directly through our Services, and regardless of whether you are a registered user or a guest.

By using the Services, you agree to the Tutoring Policy. If you do not agree to the Tutoring Policy, you are not authorized to use the Services and you must cease all such use immediately.
General
Attendance & Punctuality
Students are expected to arrive on time for sessions and attend all scheduled sessions.
Tutors are expected to arrive on time for sessions and notify the JVM Edu if they are running late or unable to attend a session.
If a student misses three consecutive sessions without notice, they may be terminated from the tutoring program.
If a tutor misses three consecutive sessions without notice, they may be subject to disciplinary action.

Late Arrival
Fees are calculated according to the times stipulated in the schedule and no adjustment shall be made for time lost because of late arrival by the Student. Students who arrive late will only be tutored for the remainder of the scheduled session. There will be no prolonged sessions.

Any lost time because of the late arrival of the Tutor shall be compensated for by extending a lesson by mutual agreement and by such amount of time that was lost.

Cancellations by Parent/Student
The parent/student may cancel sessions by giving at least 24 hours prior notice via email/telephone to JVM Edu or message to the tutor in which case no fees will be incurred. Cancellation by any other means will not be accepted.

No-Show Policy
Students who are not present at the pre-determined location when Tutor arrives or who are 15 minutes or more late are considered no-shows. The tutor reserves the right to leave after said grace period. If the Student is a no-show, he or she is still responsible for payment for the session.

Missed Sessions
Because the nature of the tutoring sessions is to improve academic performance it is pertinent that the Student attends regularly and on time. If there are 3 or more cancellations, no-shows, or tardies in any 2 month time frame, the client will be charged a $25 Convenience Fee for each 2 month occurrence.

Inclement Weather
In the event of inclement weather (snow, sleet, hail, flooding, tornado, hurricane, severe thunderstorm) we will leave it up to the discretion of the parent/student and the tutor as to whether or not a lesson will be held. All clients have the option of choosing online tutoring in lieu of cancellation due to inclement weather. Please communicate with your tutor on lesson days when there is inclement weather. The tutor shall reschedule the session at a time agreeable to both parties, should sessions be cancelled due to inclement weather.

Group Sessions
At JVM our goal is to ensure each student is getting the attentions that they need. In order to do so for our group tutoring services, our policy is that there can only be a maximum of TEN (10) students in any given personalised tutoring sessions. This policy does not apply to live instructor courses or self-paced courses.

Payment & Payment Processing
JVM Edu will accept payments from clients using a variety of payment methods, including physical payments, credit/debit cards, bank transfers, and electronic payment platforms. All payments made to JVM Edu will be processed through secure payment processing systems, in compliance with applicable laws and regulations. JVM Edu will ensure that all payment processing systems are secure and regularly monitored to detect and prevent any potential security breaches. Any payment information collected from clients will be stored securely and in accordance with applicable laws and regulations. In the event of a payment processing error or dispute, JVM Edu will work with the client to resolve the issue in a timely and professional manner. JVM Edu may charge fees for certain payment methods, and these fees will be clearly disclosed to clients prior to payment. Any refunds or cancellations of payments will be processed promptly and in accordance with applicable laws and regulations. Employees of JVM Edu who handle payment information or payment processing systems will be trained on the company's payment and payment processing policies and procedures. JVM Edu reserves the right to modify this policy at any time, with appropriate notice to clients and employees. By agreeing to use JVM Edu's payment processing services, clients agree to comply with this Payment and Payment Processing Policy.

Agreement for Payment
Payment shall be made at least 2 days prior to a session OR payment shall be made monthly in advance.

Refunds
Please be aware that we have a No Refund Policy for all services. Refund requests, including, but not limited to, those made for students who cannot attend or use services, regardless of the student’s reason(s), and regardless of whether the student provides us with advance notice, will be decided at JVM's sole discretion. Should you choose to cancel a prepaid service after attending your first session, you will be billed for the remaining amount of the service price. Exceptions may be made only in cases in which a student cannot attend due to serious illness or the death of an immediate member of the student’s family. In these cases, official documentation may be required. If you are not satisfied with services for any reason, please contact us via telephone / email or via chat on the website. JVM reserves the right to provide any refunds to dissatisfied parents/students in its sole discretion.

Quality Management
JVM Edu may record and monitor service sessions, including, but not limited to, any audios, videos, chats, files, and documents, at any time for quality assurance and management purposes and any other internal purposes as JVM Edu deems necessary without further notice of consent to you.
Feedback
At JVM Edu, we value feedback from both our clients and our tutors. We encourage all clients and tutors to provide honest and constructive feedback to help us improve our tutoring services.
All feedback provided will be treated confidentially and used only for the purpose of improving our tutoring services.
We encourage clients and tutors to provide feedback through our forms, website or by emailing us directly.

Academic Honesty
All students are expected to complete their own work and not engage in plagiarism or cheating. If a tutor suspects a student of engaging in academic dishonesty, they must report it to the agency. If a student is found to have engaged in academic dishonesty, they may be terminated from the program. Tutors must also follow academic honesty policies and complete their work without cheating or plagiarism.

Obligations of the Student

The Student undertakes to assist the Tutor in identifying problem areas in which the Student needs specific tutoring.

The Student agrees to be prepared for every session by having all materials, utensils, homework, etc. ready and available in the designated tutoring location prior to the Tutor arriving.

The Student agrees that assignments, exercises or homework form an integral part of tutoring and undertakes to complete such work timely.

Obligations of the Parent/Guardian

The parent/guardian undertakes to be responsible for the student’s conduct and character during the tutoring sessions including promptness, respectful behavior, and staying on task.

The parent/guardian is responsible for initiating any communication with the tutor.

The parent/guardian is responsible for getting the student to the session on time and for picking up the student promptly as soon as the session has ended.

The parent/guardian agrees to ensure that the student has completed all work assigned by the tutor within the timeframe given.

No Tolerance of the Following
Under no circumstances will violence be tolerated in any form including verbally, physically or mentally towards the tutor or client. There will be No tolerance of discrimination against someone for their race, sex, age, social status, disability, ethnic background and religious denomination. FAILURE TO COMPLY MAY LEAD TO SUSPENSION OR PERMANENT DISMISSAL FROM ALL JVM EDU SERVICES AND PRODUCTS.

Sharing Contact Information
​​​​Students should only share email contact details. Sharing of phone numbers is prohibited. Any communication will be done via our WhatsApp community, google meet, our platform or via email with JVM Edu included in the email thread. FAILURE TO COMPLY MAY LEAD TO SUSPENSION OR PERMANENT DISMISSAL FROM ALL JVM EDU SERVICES AND PRODUCTS. JVM Edu will not be responsible for any incidents that occur outside of these guidelines.

No Warranties
While we endeavor to provide the best educational services possible, the Tutor & JVM Edu makes no promises or warranties with regards to a Student’s performance as a result of any tutoring provided. In no event shall our obligations, expressed or implied, to any customer or site user, exceed those obligations specifically noted herein.

Relaxation of Terms
No relaxation, indulgence, waiver or release by any party of any of the rights in terms of this agreement on one occasion shall prevent the subsequent enforcement of such rights and shall not be deemed to be a waiver of any subsequent breach of any of the terms.
Whole Agreement
This agreement constitutes the entire understanding between the parties with regard to the subject matter thereof and the parties waive the right to rely on any alleged expressed or implied provision not contained herein. Any alteration to this agreement must be in writing and signed by both parties.
EdVantage Program

Cancellations by Parent/Student
In cases where a session was scheduled under 24 hour period for this program, the student/parent may cancel the session minimum 3 hours before the start or a loss of 15 minutes from their program will be incurred.
​
Cancellations by Tutors
The tutor may cancel sessions by giving 12 hours prior notice to the parent/student in which case no fees shall be incurred. The tutor shall then reschedule the appointment at a time agreeable to both parties within 7 days or those missed hours will be lost. If the tutor is unable to attend a session, the company will provide a replacement tutor or reschedule the session.

No-Shows
If a students doesn't show up to a session within the allotted grace period , they are considered a no-show and a loss of the full time scheduled will be incurred.

Payment
This program charges sessions at a rate of 60 credits/15 minutes for all services except Topic Mastery & Exam/Test Prep services which are charged at a rate of 75 credits/15 minutes interval. This means that regardless of the amount of minutes used in a given 15 minute interval, the session will be charged at that rate.

Roll Over Minutes
If at the end of the month, the allotted time for your plan has not been exhausted, you are eligible to transfer up to 2 hours to the next month in 15 minute intervals as long as you have resubscribed either on the same plan or an upgraded plan within the payment deadline. There will be no transfers if you downgrade your plan.
